Make Virtual Time for Your Contractor Meeting

Virtual consultations for deck and screen porch projects have become incredibly effective—often more efficient than in-person meetings. At Design Builders, we conduct dozens of successful virtual consultations monthly. Here's how to prepare for yours to ensure you get accurate estimates and clear information.

Before the Meeting: Preparation Steps

1. Clean and Organize the Area (10 minutes) Clear the space where you're considering the deck/porch:

  • Move furniture, planters, grills away from the area
  • Trim overhanging branches that block the view
  • Remove temporary structures or tarps

Why it matters: We need to see the actual building area, existing structures, and site conditions.

2. Take Clear Photos (15 minutes)

Essential Shots:

  • Wide view of entire proposed area from multiple angles
  • Close-ups of where the deck will attach to house
  • Existing foundation or ground conditions
  • Any obstacles (utility boxes, HVAC units, downspouts)
  • Views from inside rooms that will access the deck
  • Neighboring structures or property lines

Photo Tips:

  • Take in good natural light (mid-morning or afternoon)
  • Use landscape orientation
  • Include something for scale (person standing, tape measure)
  • Avoid filters or editing

3. Gather Property Information

Have Ready:

  • Property survey (if available)
  • HOA guidelines or architectural standards
  • Any existing deck/porch plans or permits
  • Photos of decks you like (Pinterest, Houzz, our portfolio)

4. Measure Key Dimensions

If possible, measure:

  • Width and depth of proposed deck area
  • Door/window locations and sizes
  • Height from ground to threshold
  • Distance to property lines
  • Location of any utilities (water, gas, electric)

Don't stress if you can't measure everything—we can often work from photos and verify later.

Technology Requirements

You'll Need:

  • Reliable internet connection (WiFi or cellular)
  • Device with camera (smartphone, tablet, or computer with webcam)
  • Charged battery or charger nearby
  • Quiet location for the call

Video Platform: Most contractors use Zoom, Google Meet, or FaceTime. We'll send a link—just click and join. No account needed.

Test Your Setup (5 minutes before call):

  • Can you hear and be heard?
  • Is camera working?
  • Is lighting good where you'll stand?

During the Virtual Consultation

What to Show Us:

Start Outside:

  • Walk us around the entire proposed area
  • Show all four sides of your home if possible
  • Point out any concerns or questions you have

Then Move Inside:

  • Show which rooms will access the deck/porch
  • Demonstrate current traffic flow
  • Share your vision for how you'll use the space

Be Prepared to Answer:

  • How do you plan to use the space? (dining, lounging, entertaining)
  • Timeline preferences? (when do you want to start/finish)
  • Budget range? (general range helps us recommend appropriate options)
  • Material preferences? (any strong likes or dislikes)
  • Must-have features? (built-in benches, specific railings, lighting)

Our Process:

  1. Introduction & goal discussion (10 min)
  2. Virtual site tour (15-20 min)
  3. Design possibilities discussion (15 min)
  4. Budget and timeline conversation (10 min)
  5. Next steps and questions (10 min)

Total time: 60-75 minutes typically

What We CAN Do Virtually

Assess feasibility of your project

Discuss design options and show examples

Provide ballpark budgets (within 15-20% typically)

Answer technical questions about process, materials, timeline

Share portfolio of similar projects

Screen for good client/contractor fit

Schedule next steps (in-person measurement, detailed proposal)

What Requires In-Person Follow-Up

Exact measurements (virtual measurements are estimates)

Final proposals (need precise dimensions)

Structural assessments (need to probe existing conditions)

Contract signing (most people prefer in-person)

Typical Process:

  1. Virtual consultation (60-75 min)
  2. If we're a good fit → Schedule in-person measurement (30-45 min)
  3. Detailed proposal provided (2-3 days later)
  4. Proposal review meeting (in-person or virtual)
  5. Contract and project start

Virtual vs. In-Person: Pros and Cons

Virtual Advantages:

  • No need to take time off work
  • Can include family members from different locations
  • Easy to reference photos and examples on screen
  • Less pressure, more comfortable for some people
  • Quick to schedule (often same-week availability)

Virtual Limitations:

  • Can't see fine details (deck board conditions, rot, etc.)
  • Measurements are approximate
  • Hard to demonstrate certain concepts physically
  • Technology issues can disrupt flow

Our Recommendation: Start virtual. If we determine an in-person visit is needed, we'll say so. Most projects benefit from both: virtual consultation first, then in-person measurement.

Common Virtual Meeting Mistakes (And How to Avoid Them)

Mistake #1: Poor Lighting

  • Solution: Schedule during daylight hours, stand with sun behind your camera

Mistake #2: Noisy Environment

  • Solution: Find quiet spot, mute TV/radio, ask family for 1 hour of quiet

Mistake #3: Rushing

  • Solution: Block 90 minutes (even though call is 60-75 min, allows buffer)

Mistake #4: Not Having Key Info

  • Solution: Use preparation checklist above

Mistake #5: Trying to Show Too Much

  • Solution: Focus on proposed deck/porch area and adjacent spaces only

Questions to Ask During Your Virtual Meeting

About the Project:

  • What's realistic for my budget?
  • What permit requirements apply?
  • How long will construction take?
  • What's your timeline to start?

About the Process:

  • What happens after this consultation?
  • When would you provide a detailed proposal?
  • What's included in your proposals?
  • How do you handle changes during construction?

About Design Builders:

  • Can you show similar projects you've completed?
  • Who would be my main contact during the project?
  • What's your warranty/guarantee?
  • Can you provide references?

After the Virtual Meeting

If You're Interested in Moving Forward:

  1. We'll schedule in-person measurement visit
  2. You'll receive detailed proposal in 3-5 days
  3. Review and ask questions
  4. Make your decision

If You're Not Ready: That's completely fine. We can:

  • Provide rough budget for planning purposes
  • Stay in touch for future communication
  • Answer follow-up questions by email

No pressure, no hard sell. Our goal is to give you the information you need to make the right decision for your family.
